Support answers repeat the same facts: order status, license keys, refund steps. AI writes a solid first draft from your docs, and you keep the final word. Here is a workflow that works for a small team.

What you need

  • Your help docs or past answers in one place.
  • An AI chat tool with your product facts pasted in, or a support tool with AI drafts built in.

Steps

  1. Collect your best answers. Pick 10 tickets you answered well. They become the examples the AI imitates.
  2. Write the rules once. Tone, language, what to never promise (refunds, dates), and when to ask for the order number. Keep it to one page.
  3. Draft every reply. Paste the ticket plus the rules. Read the draft, fix facts and tone, then send. Never send a draft unread.
  4. Measure weekly. Count tickets answered per hour before and after. If quality drops, tighten the rules, not the sending.
  5. Feed corrections back. Each fix you make twice belongs in the rules or the examples.
